This statement explains how A-Vet Smådyrklinikk AS processes personal data about you as a pet owner – what we collect, why, how long we store it, and what rights you have.

What we process, why and on what basis

Patient record and treatment

We register your name and contact information, information about your animal, and medical records from examinations and treatments. The basis for processing is partly the agreement we have with you for veterinary services, and partly our legal obligation to keep records in accordance with the Animal Health Personnel Act and the Medical Records Regulations.

Tests and imaging

Blood samples and other samples are analyzed at the clinic or sent to an external laboratory. X-rays are stored and evaluated in digital systems, and can be interpreted by external radiologists or software. The basis is the same as for the medical record – the agreement with you and our duty to treat responsibly.

Appointment booking

If you book an appointment digitally, your contact information will be processed to carry out the agreement.

Payment, direct settlement and financing

In the case of direct settlement, we send claims and necessary documentation to your insurance company, as agreed with you. If you choose partial payment, information is forwarded to Resurs Bank for credit assessment. Accounting documentation is processed because the Accounting Act requires it.

Inquiries

If you contact us by phone or email, we process the information you provide in order to respond to you. The basis is our legitimate interest in handling inquiries. Enquiries that do not lead to a consultation are deleted when the case is closed.

Job applications

If you apply for a job with us, we process the information in your application to assess candidates. The basis is pre-contractual measures. Applications from candidates we do not hire are deleted after the recruitment process has ended, unless you consent to us retaining them for longer.

Newsletter

If you subscribe to the newsletter, we process your email address based on your consent. You can withdraw your consent at any time via the unsubscribe link in each email.

Tje website

We use cookies for statistics and to improve the website. This only happens if you have consented in the consent banner. Necessary cookies that make the website work are set on the basis of our legitimate interest in safe and stable operation.

How long we store the information

• Patient record: at least ten years, as required by the journal regulations, and then as long as the animal is believed to be alive.
• Accounting documentation: as long as the accounting law requires.
• Inquiries: until the case is concluded.
• Job applications: until the recruitment is completed, unless you have agreed otherwise.
• Newsletter: until you log out.
• Web statistics: after the storage period stated in the consent banner.

Who the information is shared with

We never sell personal information. Information is only shared when it is necessary to provide the service, when you ask us to, or when we are legally obligated to do so. Some suppliers process personal information on our behalf as data processors and are then bound by a data processing agreement. Other recipients process the information as independent data controllers.

• Journal system and appointment booking: Nordhealth Finland Oy (Tested)
• Laboratory analyses: IDEXX and LABOKLIN
• Imaging and radiology assessment: PetScan Nordic AB, which uses subcontractors for storing, displaying and interpreting images
• Your insurance company: by direct settlement, after agreement with you
• Resurs Bank: if you choose partial payment
• Website: Google for statistics, maps and fonts, and hCaptcha to prevent automated form abuse
• Authorities: The Norwegian Food Safety Authority and other public bodies, where we have a duty to provide information by law.

Transfer outside the EU/EEA

Some suppliers or their subcontractors may process personal data outside the EU/EEA, including in the USA. Such transfers must have a valid transfer basis under the General Data Protection Regulation. We obtain and document the transfer basis from the suppliers used.

Your rights

Depending on the basis of the treatment and the situation, you may have the right to:

• get access to what information we have about you
• have information that is incorrect or incomplete corrected
• request deletion, when we have no legal obligation to keep them
• request that the processing be restricted
• have the information provided in a machine-readable format (data portability)
• object to processing based on legitimate interest
• withdraw consent you have given, without affecting the lawfulness of the processing before the withdrawal

As a general rule, journal information cannot be deleted during the statutory retention period. We are required to keep the records for at least ten years, and thereafter for as long as the animal can be presumed to be alive. The right to erasure therefore does not apply when the retention is due to a legal obligation.

Complaint to the Norwegian Data Protection Authority

If you believe that we are processing personal data in violation of the regulations, you can complain to InspectorateWe would also appreciate hearing from you first so that we can rectify the situation.

Cookies

The website uses cookies. You choose what you agree to in the banner that appears on your first visit, and you can change your choice there at any time. Necessary cookies cannot be turned off, because the website does not function without them.
